How to Manage Tools and Attachments in the Updated System

Our latest update introduces significant improvements to how tools and attachments are managed within our platform. Below are the key changes and step-by-step instructions to help you navigate these updates effectively.

1. Tools and Attachments Moved to Assets

What's New?

  • Tools and attachments are now part of the Assets section.

  • This change allows tools and attachments to be categorized using Asset Classes for better organization and improved functionality.

What You Need to Do:

  • Navigate to the Assets section in the system.

  • Your existing tools have already been merged into this new section; no manual action is required for migration.

  • To assign an Asset Class to a tool or attachment:

    1. Go to the Assets section.

    2. Select the desired tool/attachment.

    3. Click Edit and assign an appropriate Asset Class.

Benefits:

  • Asset Classes streamline data management and ensure consistent costing configurations.


2. New Wet/Dry Hire Costing System

What's New?

  • We've introduced a flexible costing system that allows you to configure:

    • Per Hour rates

    • Per Day rates (with options for Half Day and Full Day)

    • Wet Hire and Dry Hire rates

  • Special rates can be defined directly in the asset itself, ensuring flexible pricing.

  • If no custom rates are set at the asset level, the system will automatically pull data from the assigned Asset Class.

Costing Information Fields:

  • Per Hour Cost

  • Half Day Cost

  • Full Day Cost

  • Dry Hire Per Hour Price

  • Dry Hire Half Day Price

  • Dry Hire Full Day Price

  • Wet Hire Per Hour Price

  • Wet Hire Half Day Price

  • Wet Hire Full Day Price

Default Charge Settings:

  • Set your Default Charge Out Type to either:

    • Wet Hire

    • Dry Hire

  • Set your Default Charge Out Duration to either:

    • Per Hour

    • Per Day

What You Need to Do:

  • To configure Wet/Dry hire rates:

    1. Navigate to the Assets section.

    2. Select the desired asset.

    3. Click Edit and locate the Hire Rates section.

    4. Specify your desired rates for each category listed above.

    5. Save the changes.

Tip:

  • For efficiency, consider setting rates directly at the Asset Class level to apply consistent rates across multiple tools and attachments.

3. WOF / COF Information for Plants

What's New?

  • You can now add Warrant of Fitness (WOF) and Certificate of Fitness (COF) information directly to your plant records.

What You Need to Do:

  • To add WOF/COF details:

    1. Navigate to the Assets section.

    2. Select the relevant Plant record.

    3. Click Edit and locate the WOF / COF Details section.

    4. Enter the expiry date, certificate number, and any notes relevant to the WOF/COF.

    5. Save the changes.

Benefits:

  • This feature helps track compliance requirements and manage maintenance schedules.


4. Prestarts for Tools and Attachments

What's New?

  • Prestarts can now be performed for individual tools and attachments, improving safety checks and record-keeping.

What You Need to Do:

  • To perform a Prestart:

    1. Navigate to the Prestarts section.

    2. Select the relevant tool or attachment from the list.

    3. Follow the step-by-step Prestart checklist to complete the inspection.

    4. Submit the Prestart to save the record in the system.

Benefits:

  • Enhanced safety protocols for smaller equipment items like drills, saws, and other tools.
